Cancellation & Refund Policy – Wild Woods Retreat
Effective Date: September 11, 2025
At Wild Woods Retreat, we understand that plans change. We aim to be both fair to our guests and mindful of the time, resources, and preparation that go into hosting each stay.
Standard Reservations (Individual Guests)
Full Refund: Cancellations made 30+ days before arrival receive a full refund.
Partial Refund: Cancellations made 14–29 days before arrival receive a 50% refund.
No Refund: Cancellations made less than 14 days before arrival are non-refundable.
Private Group / Retreat Bookings
Deposit: A non-refundable deposit of 25% of the total booking is required to secure your date.
Balance: Remaining balance is due 30 days before arrival.
Refunds: If the group cancels:
60+ days before arrival: Refund of all payments except the 25% deposit.
30–59 days before arrival: 50% refund (excluding deposit).
Less than 30 days before arrival: Non-refundable.
Credit Option: At our discretion, deposits from cancellations may be applied as a credit toward a future retreat within 12 months.
Weather & Emergencies
If Wild Woods Retreat must cancel due to weather, natural disaster, or unforeseen circumstances, guests will receive a full refund or the option to reschedule at no extra cost.
In the case of guest emergencies (illness, family crisis, etc.), please contact us. We may, at our discretion, offer a credit toward a future stay even if outside standard refund windows.
How to Cancel
To request a cancellation, email us at [email protected] with your reservation details. Refunds will be processed to the original payment method within 7–10 business days.
Why We Ask for These Terms
Wild Woods Retreat is an intimate space with limited availability. When a booking is cancelled close to the date, it is often too late for us to rebook that spot. These policies ensure we can continue to care for the land, our animals, and our team while still extending hospitality to our guests.
